Job Title: Property Management Assistant

About Us:

The Hellenic Community of K-W portfolio includes a diverse range of residential and commercial properties. We are currently seeking a motivated and detail-oriented Property Management Assistant to join our team and contribute to the efficient management and administration of our properties.


Job Summary:

The Property Management Assistant will support the overall administration of building operations, ensuring smooth and efficient management of properties. This role involves a variety of tasks, including tenant communications, maintenance coordination, administrative support, and record keeping. The ideal candidate will have strong organizational skills, excellent customer service abilities, and a proactive attitude.

Key Responsibilities:


  • Tenant Relations:

    • Serve as a primary point of contact for tenants, addressing inquiries and concerns in a professional and timely manner.
    • Assist with lease renewals, move-ins, and move-outs, including preparing and reviewing lease agreements.

  • Maintenance Coordination:


    • Manage and track maintenance requests, ensuring timely resolution of issues.
    • Coordinate with maintenance staff and external contractors to schedule repairs and routine maintenance.
    • Conduct property inspections to identify maintenance needs and ensure compliance with safety standards.

  • Administrative Support:

    • Maintain accurate and up-to-date property records, including lease agreements, tenant information, and maintenance logs.
    • Prepare and distribute property-related documents, such as notices, reminders, and reports.
    • Assist in processing rent payments and handling billing inquiries.

  • Building Operations:


    • Oversee the day-to-day operations of the property, ensuring adherence to company policies and procedures.
    • Assist with managing property budgets and expense tracking.
    • Support property managers in implementing and enforcing building rules and regulations.

  • Customer Service:

    • Provide exceptional service to tenants, addressing their needs and resolving any issues that arise.
    • Foster positive relationships with tenants and create a welcoming environment within the property.



Qualifications:

  • Education: High school diploma or equivalent required; Associate’s degree or relevant certification preferred.
  • Experience: Minimum of 1-2 years of experience in property management, real estate, or a related field is preferred.
  • Skills:
    • Strong organizational and multitasking abilities.
    • Excellent written and verbal communication skills.
    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and property management software.
    • Ability to work independently and as part of a team.
    • Problem-solving skills with a proactive and customer-focused approach.


Working Conditions:

  • Part-time hours (Two week days and Saturday).
  • Ability to handle physical tasks related to property inspections and maintenance.
