We’re looking for a proactive and organized Administrative Assistant/Receptionist to provide administrative support for one of our clients located in North York. This role offers:

Seeking a professional Administrative Assistant/Receptionist to manage front desk operations and provide essential administrative support. This role is fully in-office and requires a reliable, organized individual with strong interpersonal skills and proficiency in MS Office. This position is working within an accounting firm and knowledge of accounting and cloud-based software is a strong asset.
Key Responsibilities will include but not limited to:
- Welcome visitors and clients professionally; direct and announce them appropriately.
- Answer, screen, and forward phone calls; take accurate messages.
- Manage daily mail, courier shipments, and prepare bank deposits.
- Update calendars, schedule meetings, and maintain filing systems.
- Perform clerical duties such as filing, scanning, photocopying, transcribing, and faxing.
- Prepare boardrooms for meetings, including technology setup and refreshments.
- Assist with compiling financial statements and other documents.
- Support tax preparation and filing processes, including filing CRA documents and downloading notices.
- Maintain tidy, organized, and welcoming reception area, boardrooms, and kitchenette.
- Maintain office supplies, stock, and equipment.
- Perform other administrative duties as assigned.
- Follow office security and safety procedures.
Qualifications include:
- Minimum 5+ years of experience in administration, office support, or front desk operations, preferably from an accounting firm or professional services.
- High school diploma and additional certification in Office Administration or related field is an asset.
- Strong professional demeanor with excellent customer service skills.
- Proficiency in MS Office (Word, Excel, Outlook, PowerPoint) and various accounting software is a strong asset.
- Highly organized, detail-oriented, and able to work independently.
- Must have flexibility to work outside business hours during peak season.
